TASKS – How to edit Tasks in PrivMX Fusion?

We have already discussed adding Tasks and organizing them, so please read our previous tutorials regarding Tasks first. When your Tasks are added and organized, the cooperation starts.

TASKS – How to organize Tasks in PrivMX Fusion?

This tutorial will show you how to organize your Tasks, to boost your productivity at work. If you haven’t read the tutorial about creating new Tasks, we suggest doing it first.

Tasks and Sections

Tasks in PrivMX Fusion are assigned to selected users or groups of users. Because of its 2-dimensional structure, you can decide which group of Tasks you want to see by navigating on the side bar. At the top there is your private Section, where you can see your private Tasks (available only to you), all Tasks within Sections you have access to, and Tasks created by you (assigned to yourself as well as to other Team Members). Below, you can choose the thematic Section you’re interested in and PrivMX Fusion will display only the Tasks within the chosen Section. At the bottom, there is a list of your Team Members. After clicking on the particular user’s name you will see only the Tasks assigned to the person.

How to arrange lists

Lists are useful to keep all the Tasks within a Section in order. You can set up a new list while creating a new Task or from the Task menu in the top right corner. The list can refer to whatever you want, you are free to name it and select an icon to help your team navigate. You can also move your Tasks form one list to another, or put a Task in more than one list. If for any reason you consider a list more important than others, you can click the pin icon (next to the list’s name) and the chosen list will always appear on the top. If necessary, you are also able to decide whether you want to see your Tasks sorted according to lists, or simply all the Tasks in a Section without the list arrangement. To adjust the view settings, click the icon on the right side of the top bar.

View options

To make your experience with Tasks in PrivMX Fusion as smooth as possible, we have introduced different view options. You can decide whether you want to see your Tasks as a regular list, Kanban Boards or Tiles. Each type of view has its own adjustments, which you can find on the top bar. To change the view, use the three icons in the middle of the top bar.

As we have mentioned earlier, you can sort the Tasks according to list. By using the top bar settings menu you can decide to sort the Tasks according to the Task ID, publication date, modification date and status.

FILES – How to create new Files in PrivMX Fusion?

Files in PrivMX Fusion are organized and shared within thematic Sections. that means they can be accessed only by the team members who have access to a particular Section. To create a brand new file, go to Files and choose a Section to which you’d like to add it. If you’d like to create a file for a selected group of Team members, choose the right Section. You can also create files for a selected group of people or jest one person – simply move to the chat and select a group or one team members you’d like to create file for. It will be accessible only to you and the people in your channel and can be always found in your common Files.

If you’d like to create a file just for yourself, do so in your Private Files space. This way you’ll keep these documents private and inaccessible to anyone from your Team. Just click the “New…” button on the top right and choose the right format. As you can see, there are a few types of files you can create: a text note, a mindmap, a spreadsheet, a video recording, an audio recording and a photo. All of them can be created in any space in PrivMX Fusion – any Section you can access, any chat channel or in your Private Files – and shared with others without unnecessary duplication. You can also create folders to organize your documents and import files form your Windows/MacOS/Linux, but its discussed here.

There’s also a shortcut to creating files, available for PrivMX Fusion desktop app users. Just go to PrivMX Fusion system tray and you’ll see a list of hot keys that allow you to create new text notes, mind maps, access recently edited files and take screen shots. Just click or use the proposed keyboard shortcut. It works whether you’re using PrivMX Fusion or not – you just need to be logged into the app. The file created this way is accessible in your Private Files. You can copy any File to another Section – just select it and choose Copy in the menu below. Then move to the selected Section and choose Paste.

FILES – How to import your files to PrivMX Fusion?

There are many ways you can organize and share Files in PrivMX Fusion. Files are organized and shared within thematic Sections. Therefore any file is available to the users with access to the appropriate Section. But it’s not the only way to share files. You can also send any type of file within the Chat – in ad hoc chat channels or 1-on-1 conversations. To find any file exchanged with your team members that way, just click on the selected chat conversation on your left and then move to Files. You’ll see all the documents, including hyperlinks, exchanged within your conversation. In PrivMX Fusion, each user has their own private workspace, where they can store any files privately. These are not visible or accessible to any other user, even the Team Keeper. This way of dividing storage space, together with our 2-dimensional architecture, makes it really easy to organize and manage your files in an intuitive way. You’re able to find any document fast and you can see all files uploaded and edited by your team.

You can upload and edit any type of file extension to PrivMX Fusion. Editing takes place in the appropriate app installed on your desktop and any changes you and your colleagues save are also saved in your PrivMX Team Server – the edited file has the same name, but you can access its previous versions through its History. If you want your Team Members to be able to only view a particular File, not edit it, there is an option to “Lock File”. You can later unlock the File anytime you want.

To upload any type of file to PrivMX Fusion, go to Files and choose the right Section. Click the “+New…” button and you’ll see a dropdown. Your desktop files are at the end of the list. Next thing you’ll see is a pop up window where you can select the files right from your device. Import and the file will be imported to the Section you chose earlier, accessible to all its users. If you’d like to add files to your Private Files space, just switch to “My private files” and follow the same path. You can also send a file directly to one person from your team – just choose someone and click the “+New” button. As for the Files space – you can also change your view settings or export all files at once into a .zip folder.
